Commercial / Public Works General Engineering Contractor seeking Office Manager who is multi-disciplined in office work and is open to learning new skills.
Office Located in Ventura.
Responsibilities:
Construction Administration
Correspond with , general contractors, Public Agencies, vendors, and subcontractors in a friendly and professional manner via email or phone
Maintain accurate records of all construction documents and correspondence
Work with project manager for project documentation
Submit proper documentation to maintain compliance (insurances, preliminary lien notices, etc.
)
Accounting/Bookkeeping
Monitor and record bank transactions
Complete monthly reconciliations on QuickBooks
Maintain accurate records of accounts receivable and accounts payable
Schedule and issue payments to vendors and subcontractors
Organize and file invoices and receipts
Prepare bank deposits
Invoicing clients monthly when due.
Office/HR Responsibilities
Check all correspondence and relay messages
Purchase office supplies
Responsible for the preparation and processing of Bi-weekly payroll for all employees
Maintain accurate records of time sheets, labor hours.
Maintain compliance with city and state employment ordinances
Certified Payroll, reports to DIR.
Qualifications:
Must have office management experience
Previous experience in a construction environment preferred
Must have a basic understanding of QuickBooks, Excel, and Word
Must have basic knowledge of accounting practices and financial statements
Critical-thinker and problem-solver
Strong ability to prioritize multiple tasks and meet all deadlines
Excellent verbal and written communication skills
High level of attention to detail and accuracy
Experience using computers
