Overview:
We are seeking a detail-oriented Administrative Assistant with Strong Work-Ethic & Attendance to join our team.
The ideal candidate will have experience in various administrative tasks and excellent communication skills.
The position will require high discretion and professional etiquette.
Responsibilities:
- Operate as direct assistant to the Operations Manager
- Complete assigned priority tasks within specified deadlines
- Process production reports for Management review
- Organize priority lists on behalf of Operations Management by obtaining calls, messages and emails from departments of all levels
- Escalate immediate concerns to Operations Management
- Prepare End of Shift Report for Management review & completion
- Perform escalation responsibilities on behalf of the Distribution Office to communicate critical delays or request extensions
- Update production tracking excel form with daily employee production numbers
- Support Management with maintaining all business compliance documentation up to date, filed and notify Management about expired documentation
- Support Management with notifying Human Resources about Employee Resignations or Change in Relationships that are processed by Operations Management
- Manage the front desk by greeting visitors and answering incoming calls.
- Provide personal assistant support to executives as needed.
- Organize and maintain physical and digital files for easy access.
- Demonstrate proper phone etiquette when interacting with clients and colleagues.
- Provide exceptional customer support by addressing inquiries and resolving issues
- Provide exceptional support to employees and communicate with Human Resources
- Support Distribution Office with invoicing, label printing, scanning documents and assist carriers with confirming their loading procedures
- Support with contacting staffing candidates for interviews, orientation and submitting new hire documents to Human Resources Manager
- Support with handing out employee benefit forms and enrollment programs
- Provide exceptional response and resolution to Human Resources, Accounting and Corporate departments
- Maintain office equipment in mint condition as instructed by Operations Management
- Utilize computerized systems for data entry, scheduling, and other administrative tasks.
- Support general customer service inquiries related to the warehouse operations.
Qualifications:
- Proven experience working in an administrative role, preferably in a warehouse or industrial office setting.
- Proficient in phone systems and handling multiple lines effectively.
- Strong organizational skills with the ability to prioritize tasks efficiently.
- Excellent written and verbal communication skills.
- Familiarity with computerized systems for office management.
- Strong Work-Ethic and Attendance is mandatory for this role
