Busy Property Management seeking a full-time spanish speaking Administrative Assistant for the front desk.
Responsibilities and Duties:
Acting as the first impression of the company for walk-in and phone customers, this role emphasizes exceptional customer service by maintaining a polite and helpful attitude.
Receives office and telephone callers in a professional demeaner; refers callers to appropriate staff for further assistance.
Communicate with owners/tenants with a friendly and helpful demeanor to achieve maximum client satisfaction.
Provides rental information to inquiries and assists in recommendation of rentals.
Maintains and updates rental lists daily, distributes to staff and outside listings.
Assist part-time staff qualifying and process applications by running credit checks, verifying income and running criminal background reports.
Monitors inventories of supplies, stationary, and materials, including office equipment, toners, maintenance service requests and toiletry/cleaning supplies.
Inventory to be checked once per week.
Maintains office phone/voicemail and posting of special holiday hours, minutes from office meetings, vendor and employer lists.
Checks and responds to company email a minimum of every fifteen minutes.
Ensures prompt responses and forwards emails to appropriate staff if required.
Checks fax machine throughout the day and disburses copies of bills to Accounting and Property Managers.
Open and distribute mail daily.
Collects rent payments and writes on ledger cards.
Assist checking guest cards daily and responding to inquiries.
Dispatch maintenance requests to Administrative II by gathering detailed information from tenants and filling out maintenance forms.
Backs up receiving and routing maintenance requests when Administrative II is out of the office.
Reports to Property Manager both oral and written actions taken.
Must be able to backup all other Administrative II duties.
Operates and coordinates repairs/upgrades with outside vendors for a variety of office equipment including computer, typewriter, copier, phone system, and various computer application and software packages.
Performs all maintenance requests of 2463 and 2465 E.
Main Street, including landscaping, trash area, graffiti, windows, plumbing, electrical, heating and air.
Assist in filing tenant, owner and accounting paperwork.
Assist in training new part-time staff and giving management training suggestions.
Knowledge of Appfolio and Microsoft Word
May be assigned pager and responds to emergency calls as necessary including those after hours.
May be assigned to post 3-Days and other property notices.
Performs related duties as required
QUALIFICATIONS:
Property Management experience preferred but not required
Strong written/oral communication skills
Must be team-oriented and self-motivated
Experience with Microsoft Outlook, Word, Excel, Appfolio is a plus
Must have a consistent work history and verifiable references
