Daily Tasks
* Enter pertinent information into accounting software
Executive Job Description
* Schedule meetings with managers and staff
* Create procedural documents
* Do errands and assignment as requested
* Communicate on tasks, utilize software to create, complete & assign tasks
* Aid in new intakes/tenants to several properties throughout Ventura & Oxnard
* Check properties, physically, as required
* Coordinate cleaning staff
* Maintenance checklists completed routinely
* Notes on occupants of homes, uploaded daily
* New inquiries responded to timely
* Update rents paid in Property Management Software
* Daily Task list completed timely, as assigned - provide President with daily list/calendar
* Drive occupants to activities, as needed, assigned and scheduled
* Manage calendars and create weekly & monthly event calendars
* Answer phone calls - route to appropriate department
* Ensure managers review contracts from new potential residents
* Answer emails, compose drafts
* Draft correspondence letters
* Update softwares, as requested and needed
* Shop for maintenance items needed and order timely, with approval
* Timeliness of house supply orders
* Source specific items needed
* Take inventories of necessary items for homes
* Oversee managers up keeping required documentation
* Take accurate and comprehensive notes at meetings
* Keep a running list of to-do items
* Organizing meetings, including scheduling, sending reminders
* Set all reminders up as calendar Alerts
* Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters
* Strategically work meetings into flow of work day
* Run errands as requested
* Plan travel - including flights, accommodation and ground transportation
* Coordinate events and speaking engagements
* Advertisements posted for such things, coordinate with graphic design & marketing
* Collect and open ALL mail timely
* Print updated AP sheets, weekly
* Print updated financial sheets, weekly for each company
* Coordinate with Reps on marketing and farming endeavors
* Push through marketing material - business cards, design, select affordable options
* Aid and support in pushing forward business agenda & goals of Non profit
* Ads for new residents updated & reply timely
* Cleaning scheduled for properties as they become vacant
* Maintain confidentiality of highly sensitive information
* Manage complex office administrative work requiring the use of independent judgment and initiative
* Thursday: provide totals to pay workers, vendors, etc
* Keep logs of workers hours and jobs performed (ie hauling, etc.
)
* Keep updates of all properties documented
* Monitor camera systems at properties and log hours and activity
* Ensure client and property files are maintained daily
* Work with designers, marketing and website as promotional materials
* Open mail and pay bills, file - plus if know basic Bookkeeping
Education:
* Minimum - High school or equivalent
* 1-2 + years experience in the field of alcohol and/or other drug services.
* Understanding of the 12 Steps.
Qualifications:
* Have a valid drivers license
* Current CPR/First Aid Certification or agreement to obtain CPR/First Aid Certification within first 14 days of employment.
* If personally in sobriety/recovery must have at least 1 year of sobriety
* Counseling students and people with a medical background are encouraged to apply
* Experience with Quickbooks Online a plus!
Job Types: Full-time, Part-time
Pay: $18.
00 - $28.
00 per hour
Expected hours: 15 – 30 per week
