Summary:
Responsible for accurate processing, and overseeing the processing of, all bi-weekly payrolls for multiple company entities, across the US, Germany, Luxembourg, and future EMEA (Europe, Middle East and Africa) locations.
Responsible for quarterly tax filing, and accurate completion of year-end processes such as, but not limited to, W-2 reporting, taxation, fringe benefits, and HRIS maintenance.
Establishes policies and processes that ensure accurate calculation of wages, tax withholdings, and payroll deductions.
Interfaces between finance and human resource departments to provide accurate and useful information.
Develops and produces payroll-related statistical reports.
Ensures accurate and on-time governmental reporting and compliance.
This position is on-site in our Camarillo, CA location.
Essential Functions:
Process bi-weekly payroll for all entities.
Coordinate timekeeping data and information across all locations and'or divisions.
Oversee and execute all payroll and payroll tax related activities.
Maintain integrity and confidentiality of data for all Payroll related transactions and activities.
Facilitate global mobility expatriate taxation matters.
Process relocation, gross-ups and taxation involved for all transferred employees.
Process payroll for all company entities / subsidiaries in compliance with company policies and specific country, state, federal and local jurisdiction / government rules.
Assume responsibility for the quality, execution, and compliance of proper payroll procedures.
Design and produce all custom reports as requested by actuaries, benefit plan auditors, workers compensation carrier, etc.
Prepare and submit bi-weekly general ledger uploads.
Send bi-weekly 401(k) and benefits information (and payments) to TPA’s and/or benefits brokers, as required.
Create and maintain all payroll database reporting as required by business groups.
Create quarterly Workers’ Compensation reports and payments to monopolistic states.
Reconcile monthly workers’ compensation wages and process payments to insurance provider.
Implement changes or upgrades of the payroll software not limited to implementation and integration of new business groups.
Contact country and/or state agencies directly to resolve tax related problems; often acting as liaison between Payroll Software/Platform and the country or state jurisdictional agency to maintain good standing.
Streamline and organize Payroll processes across business groups to ensure zero errors for each pay run.
Compile and report fringe benefit taxation for employees; including personal use of company cars and health insurance cost reporting requirement on W-2’s and comparable documentation for all entities.
Prepare annual filing of 1095-C (for employees) and 1096-C (IRS) Forms.
Additional tasks as assigned.
Qualifications:
Bachelor’s Degree or equivalent plus 10 years’ Payroll experience as an individual contributor.
3+ years’ supervisory experience required, will manage 1 payroll clerk.
5+ years’ experience working with financial and benefit plan auditors.
2+ years global payroll experience required using ADP/WFN.
Advanced abilities within Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, etc.
)
Proficient knowledge of multi country and state payroll taxation, must include California.
Proficient knowledge of monopolistic states.
